This article outlines the key practices every member of the Butler community should follow to help protect personal information, University data, and institutional systems.
Keep Your Butler Credentials Private
- Never share your password with anyone - not friends, not coworkers, not family, and not IT staff.
- Do not write down your password (or any password) or store it in unsecured places (e.g., email, sticky notes, word or excel documents).
- Be cautious of websites, apps, or forms asking you to log in with your Butler username and password. Always verify the source before logging in.
Be Vigilant with Two-Step Login Requests
- Only approve two-factor authentication (2FA) prompts that you initiate.
- If you receive an unexpected 2FA prompt or request, do not approve it - this may indicate someone has your password and is trying to log in.
- Repeated or random 2FA requests are a warning sign of a compromised account. If you receive a suspicious 2FA prompt:
- Deny the request.
- Immediately go to password.butler.edu and change your password.
- Report the incident to the IT Security team via security@butler.edu.
Watch Out for Phishing Attempts
- Phishing emails try to trick you into sharing personal information or clicking harmful links. Red flags include:
- Unexpected emails asking for urgent action.
- Messages requesting passwords, payment details, or personal data.
- Poor grammar, generic greetings, or unusual sender addresses.
- How to respond:
- Do not click on suspicious links, enter your Butler credentials, or download unexpected attachments.

Secure Your Devices and Data
- Lock your screen whenever you step away, even for a moment.
- Keep your operating system and applications up to date.
- Use only Butler-approved antivirus and security tools.
- Do not store or transmit sensitive information (e.g., student records, SSNs, credit card numbers) in email or unsecured files.
