Overview
- Butler students generally have their degrees conferred (i.e., actually receive their degree) in May, August, or December each year.
- The information below applies to students who graduated in the summer of 2024 and beyond.
- Graduates that are employed by Butler full-time/are affiliates or continue to take classes after graduation will retain account access until their employment or affiliate status ends.
Graduates will lose access to the following shortly after degree conferral:
- Library Databases (OpenAthens)
- Note: Pharmacy and PA students get extended access to databases for board preparation.
- Buildings (ID card access)
Graduates will lose access to the following 90 days after degree conferral:
- Microsoft 365, including OneDrive and OneNote but excluding email
- Butler Google Apps, including Google Drive
- Canvas
- My.Butler.edu
- Panopto
- Blogs.butler.edu
- Printing (PrintSmart)
- Qualtrics
- Zoom
- Thomas

Preserve your data by doing the following:
Email
- Create an alternate email account (e.g., Outlook.com or Gmail account) if you don’t already have one.
- Consider turning on an automatic reply to direct senders to contact you at an alternate address.
- Note: after 1 year, you will lose access to your Butler email. If you put an out of office auto reply on your email account, anyone who messages you will receive the out of office notification for an additional 90 days after your account is locked.
- Consider sending an email to your frequent contacts alerting them of your alternate address.
- Update your preferred email address for email subscriptions, newsletters, and other services (Amazon, banks, etc.).
- Move email messages and contacts you want to keep to another email account (Move Emails and Contacts to Another Email Account).
- Stay connected to Butler as an alumnus by providing your information here.
Files/Data
- OneDrive: copy your data from Microsoft OneDrive to another storage solution (e.g., cloud storage, external hard drive, etc.).
- Google Apps: copy your data from your Butler Google Apps account to another storage solution (e.g., cloud storage, external hard drive, etc.).
- My.Butler and Canvas: get any data that you need from My.Butler.edu and Canvas.
- Consider printing an unofficial transcript from my.butler.edu.
- Canvas course availability is determined by your instructor and may be deactivated at their discretion at anytime. IT recommends capturing any desired materials from Canvas shortly after your degree is conferred.
- Panopto: download your Panopto videos, especially if you use these videos on external websites such as ePortfolio. Most student videos will be archived one year after creation and then deleted after four years in the archive. Note that you can restore a video from the Panopto archive and/or change the retention policy on your videos while you still have access to your account; however, if you plan to use the videos after graduation, we recommend downloading and relocating videos.

Other Tasks:
- Update Your Info - stay connected to Butler as an alumnus by providing your information here.
- Student Workers - if you worked on campus in the past calendar year, your W2 tax form will be sent to your home address the following January. Verify that your home address is accurate (How do I update my home address in my.butler.edu (Campus Solutions)?).
- Career and Professional Success: contact the Career and Professional Success (CaPS) office at career@butler.edu to have your Handshake credentials switched from Butler's single sign-on to your personal email address and password.
