There are times when files or folders need to be shared with people that are not members of your team.
Use cases:
- Student-workers need access to files but adding them to the team could give them access to other files.
- People at Butler or outside resources that are working on a project.
The process is the same for files or folders. Be aware that if you share a folder then the person you share it with will have the same rights to all the down-level folders and files as the rights are inherited from the folder level.
In Teams, go to the channel where the file or folder is then follow these steps:
- Click Files in the top area
- Click Open in Sharepoint (note, you may have to click the More option)
- A new tab opens in your default web browser showing the files and folders listed for the channel you were in
- Hover your mouse next to the item you want to share and a circle should appear
- Click the circle which will place a checkmark inside the circle
- Along the top of the window, on the right-hand side, you should see an icon of a circle with an "i" in it
- Click the icon
- In the pane that shows up, click Manage access
- Click Share in the sidebar that appears
- The default option that shows up is the best practice for sharing, "People you specify can edit" but can be changed based on your preference. Click the arrow to see your choices. When you have the correct option selected you are now ready to share
- In the To: field type the name (first or last) of the person you want to share with (you will see Butler people start to populate) select the correct person
- For non-Butler people, type the email address. You will see a message that the person is outside of your organization)
- OPTIONAL: type a message for the recipients
- Click the Send button
- The people you shared to will get an email with a link to the shared item
