Microsoft Teams – Channel Calendar Knowledge Article
This guide helps end users understand how to add, view, schedule, edit, and manage events in a Channel Calendar within Microsoft Teams. Topics are arranged in a logical order, starting with adding the calendar.
1. Adding a Channel Calendar to a Channel
A Channel Calendar is not automatically included—you must add it manually.
How to add a Channel Calendar:
- Navigate to the Team and Channel where you want the calendar.
- Select the + (Add a tab) button at the top of the channel.
- Search for Channel calendar.
- Select Add.
- Name the tab (optional) and click Save.
Once added, the calendar becomes available to all channel members.
2. Understanding How Channel Calendar Events Work
Channel Calendar meetings behave differently than standard Outlook meetings.
Who gets added or invited?
- The organizer does NOT receive an invitation. They are automatically added to the meeting and marked as Accepted.
- Nobody else receives an email invitation automatically.
- However, all members of the channel can see the meeting inside the channel and may join it at any time.
- Meetings appear in the Posts section and show up in a user’s personal calendar only after they RSVP or join.
Meeting visibility:
- All channel members can view the event in the Channel Calendar.
- If someone requires a direct invite, the organizer must add them manually.
3. Creating Events in the Channel Calendar
To create an event:
- Open the Channel Calendar tab.
- Click + Add new event.
- Enter the title, date, time, and meeting details.
- Choose whether to make it a Teams meeting.
- Select Send.
4. Recurring Meetings in Channel Calendars
Channel Calendars support recurring meetings, but with some limitations.
Key points about recurring channel meetings:
- You can create recurring events such as daily, weekly, or monthly meetings.
- All occurrences belong to the channel, not to individuals.
5. Editing or Deleting Events (Including Recurring Ones)
Editing an event:
- Open the Channel Calendar.
- Select the event.
- Choose Edit.
- Make any needed changes.
- Save/update the meeting.
Deleting an event:
- Open the event from the Channel Calendar.
- Select Cancel meeting.
- Confirm the cancellation.
Editing recurring meetings:
- When editing, Teams may prompt you to modify this occurrence or the entire series.
- You can delete the entire series directly from Teams.
6. How Users Join Events from a Channel Calendar
Users can join a channel meeting in several ways:
- From the Channel Calendar tab.
- From the Posts tab where the meeting is posted.
- From the meeting link inside the channel.
- From their personal Teams or Outlook calendar if they RSVP or join the event.
