How do I use the eHire system to hire a student?
- Open the web browser of your choice
- Go to my.butler.edu
- Login using your Butler username and password
- Under the "Employee Tools" section, click Peoplesoft HR/Payroll
- Click My Team
- In the left hand pane, click Student eHire Form
- Click the magnifying glass next to the box labeled "Select Template"
- Click Student_Hourly (After clicking that you will be returned to the eHire Form)
- Click the button on the right labeled "Create Transaction"
- Enter the Student ID (1st 9 numbers) in the box
- Click the magnifying glass
- Click the student that you are hiring (you will be returned to the Enter Transaction Details screen)
- If the student has not worked on campus before, there will be a "Y" next to "I-9 Needed"
- Enter the Effective Date in the field provided
- Click Continue
- The form that is displayed next is the "Enter Transaction Information" form (These instructions assume you know the following information)
- Enter the "Position Number"
- Enter the "Supervisor ID" (This is the Butler Employee ID of the Supervisor)
- Enter the "Hourly Pay Rate"
- Enter the "Combination Code"
- Click Save and Submit
At this point the student has been entered into the eHire system. You may still need to submit paperwork to ICS to complete the process. Please check the

How do I check the status of an eHire transaction?
- Open the web browser of your chooce
- Go to my.butler.edu
- Login using your Butler username and password
- Under the "Employee Tools" section, click Peoplesoft HR/Payroll
- Click My Team
- In the left hand pane, click Check Student eHire Status
- You should see the "Transaction Status" pane with your transactions listed as well as the status of that transaction.

How do I check the compensatin history for a student?
- Open the web browser of your chooce
- Go to my.butler.edu
- Login using your Butler username and password
- Under the "Employee Tools" section, click Peoplesoft HR/Payroll
- Click My Team
- In the left hand pane, make sure "View Employee Personal Info" is selected
- Click the "Select" button next to the employee that you are inquiring about
- The "Employee Information" page loads
- Click Actions under the student name
- Click Compensation and Stock
- Click View Compensation History
- The report will take a minute or so to load and the salary history will be displayed. This could be confusing because it is listed as a YEARLY rate based on 520 hours/year. Divide the "Amount" by 520 to get the hourly rate.
How do I terminate a student employee?
- Open the web browser of your chooce
- Go to my.butler.edu
- Login using your Butler username and password
- Under the "Employee Tools" section, click Time Approvals near the bottom of the column
- Near the bottom of the page, click the link "Manager Self Service"
- Click the link "Job and Personal Information"
- Click Terminate Employee
- Click the "Select" button next to the employee to be terminated
- Enter the "Termination Date" in field provided
- Type any comments, if any
- Click Submit
