Resolution Description

Creating/Starting an Impromptu Zoom Meeting:

  • Go to zoom.butler.edu and click Sign In. Enter your full Butler email address and password, then click Log In (see also How do I sign into Zoom?).
  • If Zoom asks for permission to access the computer’s microphone, choose Yes.
  • Navigate to the upper right of the screen and click on the drop down arrow next to HOST A MEETING. Choose With Video On.
  • A dialog box will open that says: Open Zoom Meetings? Click on Open Zoom Meetings.
  • Zoom may ask for permission for access to the camera. If so, choose yes.
  • A dialogue box will pop up and give the Host of the meeting the options to Join with Computer Audio or Test Speaker and Microphone. If desired, choose Test Speaker and Microphone. Then, check the box that says Automatically join audio by computer when joining a meeting (checking the box will save time in the future). 
  • Click Join with Computer Audio.
  • When the Zoom Meeting screen starts, locate the audio and video icons on the bottom left of your screen: 
    • Verify the microphone icon is unmuted (it will say Mute if it is unmuted).
    • Verify the video icon is displaying video (it will say Stop Video if video is playing).
    • Note: the audio and video icons can be toggled on and off at any time.
  • To invite people to the meeting, click the Participants button on the bottom of the video screen.
    • In the Participants dialog box, click Invite at the bottom left of the box.
    • Another dialog box will open. An invite can be sent by:
      • Sending out a URL (the Copy URL or Copy Invitation buttons)
      • Clicking on Contacts and searching available contacts
      • Clicking on Email (which automatically puts the invitation into an email message).
  • For more Participant options, click on the three dot ellipsis (...) at the bottom right of the box:
    • From here hosts have options such as:
      • Muting participants upon entry to meeting;
      • Playing a chime sound when participants enter and exit meeting;
      • Locking a meeting, so no one else can enter the meeting  
  • Once your participants join, the meeting can begin.
