OneDrive:When sharing files stored in OneDrive, there are many options. Sharing can be accessed through a variety of methods but the options should be available no matter how you access them.
- In OneDrive through a browser, click the Share button in the top-right corner.
- Right-click in File Explorer (Windows) or ctrl+click in Finder (Mac), click Share
In the sharing window:
- Click the drop-down arrow on the right side of the "To:" field
- Click "Link settings" which will bring up the sharing properties
- Uncheck the box next to "Allow editing"
- Change the slider next to "Block download"
- Click Apply
- You can now specify the people to share the file with
Teams:By default Team members, owners, and visitors have preset permissions which must be changed to block downloading.
In Teams, go to the channel where the file or folder is then follow these steps:
- Click Files in the top area
- Click Open in Sharepoint (note, you may have to click the More option)
- A new tab opens in your default web browser showing the files and folders listed for the channel you were in
- Hover your mouse next to the item you want to share and a circle should appear
- Click the circle which will place a check mark inside the circle
- Along the top of the window, on the right-hand side, you should see an icon of a circle with an "i" in it
- Click the icon
- In the pane that shows up, click Manage access
- Click "Advanced"
- Navigate to the file or folder you want to restrict access to
- Place a checkmark in the circle next to the item you want to restrict
- Click the GROUP icon above "Manage access" on the right (if it is not listed, follow steps 4-8 above)
- Click "Advanced"
- Click the icon along the top to "Remove Inherited Permissions"
- Click the box next to the group you want to change the permissions for
- Click the icon along the top to "Edit User Permissions"
- Uncheck the current permissions
- Check the "Restricted View" box
- Click "Ok"
